Know Your Numbers: 5 Keys to Small Business Success

 

 

The phrase “Know Your Numbers” typically refers to measuring your personal health by knowing your blood pressure, weight, cholesterol levels, etc. You and your doctor can use these numbers to make sure you’re healthy and identify early indicators of potential issues.

The same concept applies to your small business. Some small business owners consider their business to be a success if their bank account is growing – or at least not shrinking. But that’s the equivalent of saying you’re healthy because you feel good today. Just like for your health, there are key metrics that will help you better understand your business and uncover opportunities and potential issues.

#1: Start Simply

You do not need to become a data scientist to make sense of small business metrics. But it is easy to get overwhelmed. So start simply and build from there.

Find a performance dashboard you like, such as the one provided by your point-of-sale system. In this Best Practices for Small Business Success series, we’ll use examples from the Manage My Business app because it is specifically designed to help small business optimize their results. But use whatever you’re comfortable with.

You already know your sales numbers, so start by looking at this metric from different perspectives. For example, a "heatmap" graph is an excellent way to visualize your sales by the time of the day as well as the day of the week. In the following example, it’s easy to see the busiest day is Saturday and the slowest hour is 4-5pm on weekdays – perhaps indicating the need to close an hour earlier on weekdays.

Similarly, sales trend graphs often provide great insights, especially when viewed from different perspectives. This next example shows sales on Wednesdays are declining slightly over time, which could indicate a normal seasonal trend or a potential issue to investigate further.

The key is to start by looking at a few key metrics (like Sales and Order Size) to avoid getting overwhelmed and frustrated, and then expand from there as you become more comfortable with your data.

#2: Only Use Apples-to-Apples Comparisons

Comparing today’s results to those a month ago can be useful as long as “month” is defined as “four weeks ago”. This is because the day of the week influences sales for almost every business. So comparing April 30 (a Saturday) to March 30 (a Wednesday) is typically not useful, but comparing April 30 to April 2 (both Saturdays) can be very useful in measuring growth.

The same concept applies to holidays, where Mother’s Day is May 8 in 2022 but May 14 in 2023. Holidays that are on the same date every year (Christmas, Juneteenth, etc.) are exceptions, where it may be useful to compare the same date year-over-year.

A similar issue comes up for intraday comparisons. It doesn’t make sense to compare results as of noon today to the entire day of sales yesterday.  However, a comparison of sales as of noon today to sales as of noon yesterday can be very insightful.

Oddly enough, most dashboards do not make it easy to make apples-to-apples comparisons. The Manage My Business app is perhaps the only app available to small businesses that is built to ensure apples-to-apples comparisons – including understanding holidays, as shown in this example:

#3: Keep Everything in Context

It’s easy to misinterpret or misuse data, especially when it’s taken out of context. You know your business well, so make sure all metrics are interpreted within the context of your business.

Let's consider the first example above where 4-5pm on weekdays is the slowest hour. Perhaps this is good because it allows your employees to start pre-closing work and leave a little earlier – reducing payroll costs while still offering convenient store hours for your customers. Or perhaps it would be better to close earlier. Putting the data in context will ensure you make good data-driven decisions.

Keep external influences in mind as well. For example, COVID-19 caused Order Size to increase for many small businesses as consumers bought larger quantities to reduce the number of trips outside the home. The Order Size then declined as life slowly returned to normal. A decline in this key metric is usually a negative indicator, but this external factor explains why it might not be a cause for concern in this situation.

Similarly, a major retailer of cribs saw a sudden drop in their crib sales some years ago and didn’t know what to do. Based on data from a market research firm, they discovered crib sales were down for all retailers, not just them. This market context prevented them from making a bad business decision (heavy discounting or discontinuing crib sales). Crib sales returned to normal within the next six months.

#4: Keep Asking “Why?”

Analytics are only useful if you can identify why something happened and apply that insight to improve future performance. Understanding why crib sales dropped (an unusual, short-term drop in demand) allowed that retailer to make informed decisions about its future. Not understanding why could have led to disastrous results.

As you’re looking at your performance data, keep asking yourself why something happened – regardless of whether it was a positive or negative change. Negative results tend to draw our attention, but there’s a lot to be learned about why performance improved as well.

For example, price changes can obviously affect sales. In the graphs below, it’s not clear why cappuccino sales (as a percentage of total sales) were flat or trending slightly up after the price increase while latte sales were trending down. Perhaps one was still favorably priced compared to competitors while the other became overpriced. Digging deeper into the “why” will help determine if additional price adjustments are needed.

It's a never-ending process, but that’s part of the fun of owning a small business. It’s a series of challenges that push you to find new and innovative ways to create great products and customer experiences. Continually asking “Why?” will often identify new ways to make your small business special.

#5: Trust Your (Informed) Gut

Most small business owners don’t have a business degree, but they do have an intense passion for what they’re selling – whether it’s coffee or antiques or fashion or whatever motivated them to start their business. As a result, you are a subject matter expert for your business and will have good instincts for how to run it.

Analytics complement your expertise by providing insights that may not be obvious from just observing the day-to-day business. Going overboard with analytics is just as bad as ignoring analytics. It’s the balance between expertise, instinct and data-driven decisions that will be the key to your business’s success.

The Florida Small Business Development Center (SBDC) at Indian River State College (IRSC) announced the nomination of Dr. Herb Ricardo of the IRSC School of Business for the Florida SBDC Network Volunteer of the Year award. Ricardo accepted the regional award at a meeting with IRSC president, Dr. Tim Moore, in early June. The regional award automatically entered Ricardo in for the statewide award, in which he took home the title for on Monday, June 27, 2022 where FSBDC at IRSC Regional Director, Tom Kindred, accepted the statewide award on Ricardo’s behalf at the FSBDC Network annual conference in Tampa Bay, Florida. 

Volunteers provide opportunities to expand and enhance service capacity and capability to meet the diverse and complex needs of SBDC clients. This award recognizes one volunteer from each SBDC region that has provided significant, direct contributions with respect to advocacy, consulting, training, program development or special projects during calendar year 2021.

Dependable and efficient, Dr. Ricardo is always willing to lend his time and talents to assist the Florida SBDC at IRSC. Dr. Ricardo has served Indian River State College for over 22 years as a Professor at the IRSC School of Business. It was through Dr. Ricardo’s initial collaboration efforts that the Florida SBDC at IRSC has developed a long-term and valuable relationship with the school of business. Because of Dr. Ricardo’s outreach and partnership commitment to the center, SBDC clients have the ability to leverage and utilize the talents, intelligence, enthusiasm and business acumen of IRSC senior level business students. The students engage center clients through multiple programs and classes, including the capstone course, internships and focus groups. At the beginning of each semester Dr. Ricardo invites an SBDC center representative to present information regarding the center and its business assistance and resource programs to capstone participants. In creating the list of regional businesses for capstone classes Dr. Ricardo always prioritizes center clients. 

Beyond connecting center clients to students, Dr. Ricardo also lends and provides his time, expertise and business acumen for use by the center. He often serves as guest host for both radio and podcast segments of Small Biz Florida. He is also a frequent contributor to Treasure Coast Business Magazine providing best practice articles. Over the past four years Dr. Ricardo has also served as a member of the center’s banking committee for the purpose of reviewing emergency bridge loan applications. His leadership on this committee has provided for the distribution of over $5.8 million in emergency funding to regional small businesses. He also leads strategic planning sessions and training programs for center partners and stakeholders. Center consultants appreciate collaborating on projects with Dr. Ricardo because of his entrepreneurial and innovative thinking, his attention to detail and a willingness to take on the difficult projects. Despite an overwhelming amount of work and responsibilities associated with his primary role of professor, Dr. Ricardo consistently finds ways to assist the SBDC at IRSC, its stakeholders and clients. His willingness to assist others and commitment to promoting all of the resources available to the Treasure Coast business community has provided valuable and credible exposure for the center. More than a volunteer, Dr. Ricardo is truly part of the SBDC TEAM. It is the center’s honor to add Dr. Ricardo’s name next to any recognition for his many contributions to the Florida SBDC at IRSC.

The Florida SBDC Network, the state’s principal provider of small business assistance, urges small business owners to prepare for the 2022 Atlantic hurricane season, which begins today and extends through November 30.

According to a forecast by the National Oceanic and Atmospheric Administration (NOAA), the 2022 season is predicted to be above-normal, with a range of 14 to 21 named storms, of which six to 10 could become hurricanes, including three to six major hurricanes.

The Florida SBDC Network encourages small businesses to prepare for hurricane season by developing a disaster preparedness plan.

“With another active season predicted this year, all small businesses should take time now to develop a preparedness plan,” said Greg Britton, State Director of the Florida SBDC Network. “No storm should be taken lightly and all small business owners should prepare each year no matter the forecast.”

Businesses should consider several elements in preparing for a disaster. Not only is it important to protect staff, their building, data, and inventory, it is also critical to prepare a plan to continue operations following the disaster. A good plan may include provisions to relocate to a pre-identified site, retrieve data, including employee, customer and vendor records; and a way to operate efficiently with a smaller staff of key individuals.

The Florida SBDC also strongly encourages businesses to back up data and ensure they have access to important files, such as tax records, legal, and financial documents.

As a principal responder in the state’s Emergency Support Function (ESF) 18 for Business & Industry, the Florida SBDC Network helps small businesses prepare and recover from disasters.

Through the network’s service offering, professionally certified business consultants can help small business owners develop comprehensive business continuity, emergency preparedness, and disaster recovery plans at no cost. Florida SBDCs also offer training on disaster preparedness, tips, and resources.

In the event of a disaster, Florida SBDC disaster specialists help affected businesses prepare disaster loan applications. The network will also deploy its mobile assistance centers into communities for affected businesses to receive on-site assistance with disaster loans and other post-disaster challenges.

Florida SBDC Network to host inaugural Small Business Success Summit

 

 

The Florida Small Business Development Center (SBDC) Network, the state’s principal provider of small business assistance, will host the inaugural Small Business Success Summit on June 27-28, 2022 at the Grand Hyatt Tampa Bay. The summit, themed “Contracts, Capital and Connections” will provide opportunities for small business owners from across the state to learn strategies to access capital, win contracts, and make valuable connections.

The summit will feature keynote speakers, over 12 breakout sessions, and networking opportunities that will help small businesses take their business to the next level.

“I am very excited for the Florida SBDC Network to come together to host the first Small Business Success Summit,” said Greg Britton, Florida SBDC Network State Director. “Our team of professionals, along with our partners from across the state, look forward to the event to help our state’s small businesses start, grow and thrive.

The summit will kick off with a welcome reception Monday, June 27, and conference programming will occur Tuesday, June 28. The standard registration fee is $199, with a discounted, early-bird rate of $175 available until May 29.

The Florida Small Business Development Center (SBDC) at Indian River State College (IRSC) will hold another round of Profit Mastery, a six-week financial training program, on the IRSC Pruitt Campus in St. Lucie West starting Wednesday, June 8, 2022 from 9 a.m. to 12 noon.

With financial support provided by local lenders, including Bank of America and SouthState Bank, this program (valued at $499) is offered to participants at no-cost. The Florida SBDC at IRSC is encouraging business owners to register not only themselves, but their bookkeepers, payroll executives and others who may benefit from strengthening their budgetary knowledge.

Business owners, key managers, entrepreneurs, business advisors and others whose decisions have an impact on a company’s financial performance should consider participating. The Profit Mastery program is designed to enhance the financial management skills of all business managers.

The Florida Small Business Development Center (SBDC) at Indian River State College (IRSC) will hold another round of Financial Training, formally known as Profit Mastery, on the IRSC Mueller Campus in Vero Beach starting Wednesday, April 6, 2022 from 8 to 11 a.m.

This program runs six weeks and is offered to the public at no cost. Bank of America has graciously partnered with the Florida SBDC Network to scholarship financial training and management across the Treasure Coast region. Valued at $499, the Florida SBDC at IRSC is encouraging business owners to register not only themselves but their bookkeepers, payroll executives, and others who may benefit from strengthening their budgetary knowledge.

On Wednesday, March 16, 2022, the Florida SBDC Network will celebrate the sixth annual, national SBDC Day, and you’re invited to join in the celebration.

What is SBDC Day?

SBDC Day is a national, collective proclamation of the success and impact that America’s Small Business Development Centers (SBDCs) foster each year. Established by Congress in 1980, SBDCs provide consulting, training, and resources to aspiring and existing small businesses. Whether you have an idea and are just starting out, or you’re an existing business looking to grow, SBDCs have the right tools and specialized expertise to help you achieve success.

SBDC Day will unite the nearly 1,000 SBDC centers across the country and the hundreds of thousands of clients they serve each year by sharing, in real-time, the success stories and notable impacts SBDCs collectively have on the small business community at large. This special day will be celebrated virtually this year through social media and other digital channels.

What is the Florida SBDC Network?

The Florida SBDC Network serves as the state’s principal provider of small business assistance. Headquartered at the University of West Florida in Pensacola, the Florida SBDC Network has more than 40 offices from Pensacola to Key West to serve the needs of Florida’s small businesses. The network offers no-cost, personalized consulting in areas including access to capital, disaster resiliency, strategic planning, international trade, government contracting, and more. As part of its service offering, the Florida SBDC Network also offers hundreds of workshops each year ranging from the basics to advanced business management. Understanding the importance of working on your business as often as you work in your business is a topic CEO/President of Benjamin Franklin Plumbing of the Treasure Coast, Matt Black, is passionate about. After engaging the Florida Small Business Development Center at Indian River State College for a Profit Mastery session to grow the organizations financial knowledge, Matt Black, who at the time was General Manager of the business and expressed interest in purchasing the business, approached the FSBDC regarding having the business evaluated. With the support of the SBDC, Matt Black came to terms with the owner of the franchise and purchased Benjamin Franklin Plumbing of the Treasure Coast. Through the FSBDC’s consulting, Benjamin Franklin Plumbing digitalized their business plan via LivePlan and continues to build off that plan to date.

As the organization continued to grow, so did Matt’s team as they quickly realized a bigger facility with room for more trucks was essential to their growth plan. Benjamin Franklin Plumbing successfully acquired a larger facility in a more central location which was featured in the FSBDC’s partnered business publication, Treasure Coast Business Magazine, in Spring of 2021.

Through the success of purchasing the business and working with the FSBDC, Black encourages other organizations to invest time into their business plan, “I would recommend that you have a basic outline of what you want to do and they (the FSBDC) will help assist you with the rest.”

Florida SBDC IRSC holds Digital Marketing Bootcamp

 

The Florida Small Business Development Center (SBDC) at Indian River State College (IRSC) is conducting a pilot for their Digital Marketing Bootcamp kicking off on Monday, January 31, 2022 at 8 a.m. on the IRSC Pruitt Campus in St. Lucie West.  

This is a three-day program offered to participants at no-cost. The class will take place on three Mondays starting January 31 2022 and runs up until Monday, February 14 2022. The FSBDC at IRSC does plan to bring this program to other counties throughout 2022.

This program is designed for Treasure Coast business owners, entrepreneurs, marketing students and others wanting to strengthen their digital marketing strategy. The focus will be on creating a positive digital presence on social media and establishing a digital marketing strategy. 

In this course participants will learn: 

  • What a buyer’s persona is and how you can create one for your service or product
  • Drafting a marketing plan 
  • Implementing your marketing plan on social media 
  • Defining your target market 
  • Tailoring your marketing message

These courses will be facilitated by FSBDC at IRSC Digital Media Consultant, Leanna Haag, who earned her Bachelors of Science & Administration with an emphasis in Marketing at the University of Central Florida. She garnered valuable marketing experience working for such corporations as Jeppesen and Allstate Insurance, primarily working in the roles of Marketing Coordinator to develop and execute tactical marketing plans at the regional and national level. With a desire to become an entrepreneur, Leanna started See Level Marketing in 2009 to service local businesses on the Treasure Coast struggling to manage their online presence. She has had the privilege to work with businesses of all types, including local government, to improve their search engine ranking with website development and search engine optimization, internet advertising, email marketing, online directories and development of tactical internet marketing plans. She is proud to recently take on the role of Digital Consultant with the FSBDC to begin the recovery process for local businesses from the COVID-19 pandemic.

FSBDC at IRSC Profit Mastery Program

FSBDC at IRSC Profit Mastery Program

 

The Florida Small Business Development Center (SBDC) at Indian River State College (IRSC) will hold another round of Financial Training, formally known as Profit Mastery, on the IRSC Blackburn Campus in Fort Pierce starting Tuesday, January 11, 2022, at 6:00 P.M. EST.

This is an eight-week program offered to the public at no cost to participants. Local lenders have graciously partnered with the Florida SBDC Network to scholarship financial training and management across the Treasure Coast region. Valued at $499, the Florida SBDC at IRSC is encouraging business owners to register not only themselves but their bookkeepers, payroll execs, and others who may benefit from strengthening their budgetary knowledge.

Business owners, key managers, entrepreneurs, business advisors and others whose decisions have an impact on a company’s financial performance should consider participating. The Profit Mastery program is designed to enhance the financial management skills of all business managers.

Steve LeFever, Founder, and Chairman of Profit Mastery is a national leader in the development of practical financial programs and training for the independent business community. His dual role as a successful entrepreneur and as a commercial banker gives him a unique perspective on financial analysis, business management, and practical business decisions.

Sessions held in Fort Pierce by the FSBDC at IRSC are facilitated by business analyst, Clifton Vaughn. Vaughn is a Graduate of Miami-Dade College, Florida International University, and the St. Thomas University has over 40 years of business experience working in South Florida as an auditor, financial controller, financial planner, and small business owner and operator. During his years as a business professional he spent time in the airline industry, construction, consulting with small business owners, and teaching business and accounting courses at Johnson & Wales and St. Thomas Universities. Clifton has served on the Boards of Directors of the Miami-Dade Chamber of Commerce and the Miami-Dade Partnership for the Homeless.
